Reminder – Upcoming Changes to Order Processing

As we shared on February 6, we implemented a new Enterprise Resource Planning (ERP)/billing platform for the majority of ed2go Partners in October 2023. We are expanding this transition for Partners who did not transition in Phase 1. We are also introducing system enhancements for those who have already transitioned to the new billing system.  

As a result, service will be delayed March 28, 5 p.m. ET through April 7, 8 a.m. ET. We are contacting you to help you plan around our delayed service period. Read below for more details on the service delay and the transition.

During this update, our enrollment processing, shipping, and billing will be delayed 

What This Means for You

Between March 28 at 5 p.m. ET and April 7, 8 a.m. ET: 

    • Students who enroll in Advanced Career Training (ACT) courses can continue to do so. These new enrollments will begin to be activated on April 7, providing students with course access. 
    • Students who enroll in Fundamentals will be able to begin their course. 
    • We will not be able to process any enrollment modifications (such as drops, extensions, holds, in-bundle course activations, etc.) during this time. Modifications will be processed starting on April 7. This delay will not impact the student’s drop period. 
    • No physical products (i.e., books, kits) will be shipped after March 31 during the delayed service period. Physical products will begin to ship starting on April 7. 

For ed2go Partners moving to the new platform effective April 1, 2025:

    • Canadian Partners 
    • U.S. Partners who were not transitioned in Phase 1 
    • All other non-U.S. or Canadian-based Partners

What is being released?  

ed2go’s new and improved billing and revenue system, SAP Billing and Revenue Innovation Management (BRIM), is going live in April 2025

How does this release impact my institution?  

These enhancements to our finance and operations technology platform are to help us be better partners by:  

    • Enabling automation of our billing processes  
    • Enhanced enrollments capture (course edit, hold, extension, and transfer) 

 What are the main changes that are coming? 

With this transition to the new billing and revenue application, you will experience the following changes: 

    • All new enrollments and enrollment modifications made before the March/April cutover to the new billing system will continue to be invoiced and managed from the current billing system.  
    • After the March/April cutover, all enrollments and enrollment modifications will be completely managed from the new billing system and will be reflected on the invoices that come from that application.  
    • A new consolidated monthly activity invoice for Advanced Career Training  
      • The activity invoice will be consolidated by site. This means that advanced career training enrollments will appear on one invoice per advanced career training site each month rather than billed per enrollment.  
      • Fundamentals enrollments will continue to be consolidated on one invoice per month per fundamentals site.  
      • Consolidated invoices will include both online paid enrollments and enrollments made and collected by Partners.  
    • For Fundamentals course enrollments, Partners will no longer be able to perform these functions in the Online Administration Center: 
      • Drop an enrollment that occurred prior to April 1. 
      • Un-verify an enrollment. 

We are introducing one enhancement specifically for our Canadian Partners. Canadian invoices will display a breakdown of applicable taxes, providing greater visibility into tax calculations.
